- Brainstorming - Meet with your committee to discuss ideas for potential artists - Do any of your ideas fit into a scheduled/ themed week (i.e. LBGT week, HALO week) - Research - Find potential act(s) and/or information - Know availability of Venue Dates - Possible Venues: Jesse Auditorium, Missouri Theatre, Black Culture Center, Hearnes Center/Mizzou Arena, Jesse Wrench Auditorium in Memorial Union - Contact the agent - Find contact information via Pollstar or online, etc (Swank & IMDB.com for movies) - Make a Checklist BEFORE you call (include all import info): - BUILD RELATIONSHIPS!!!! - Do NOT make a verbal offer to the agent - Deciding whether or not to offer. (Use your rider to answer many of these questions.) - Fill out an offer worksheet with estimated costs in pencil. - Ask for opinions of others (WITHIN DSA) about the event. - Remember, if an offer is accepted you are held to the date, and the price. Only make an offer IF YOU ARE SURE - Drawing up the offer - Show Completed Offer Worksheet and Expense Report to Director, Advisor, AND GA to decide whether or not to send. (If not approved, start over at step1) - Send the offer - Start over at Step 1 IF the offer is: - “Null and Void” after the kill date on the offer - Killed by agent. (May be able to negotiate further with agent) - If offer is accepted by agent, obtain all necessary information from the agent (Contract Information, Publicity Contact Information, Tech/Catering Rider) - Confirm Venue reservation (which should have already been made) specifically for your show - Complete and turn in a Tech Request Form for the Tech director - Complete and turn in “Ticketmaster Event Set-up” worksheet to Box Office for ticket sales. - Draw up ad plan for your event - Get necessary information from artist/artist manager, (i.e. pictures, press releases, CD/videos), Use offer sheet determine your advertising budget - Compete and turn in design center form - Make sure media plan is approved by DSA director and the Advisor or the GA - Start ads at least 6 weeks prior to event Once the event is confirmed, make sure ALL of the individuals listed below know their roles in the event. Make sure you go over everything with them, and find out everything they need from you; as well, ask them any questions you have about the production: advisor, GA, Director, Tech Director, Box Office Manager, Design Center Advisor, Venue Manager (only if applicable), and of course, your committee.
