Once Offer is Accepted
Now that your offer has been accepted there is a lot to do. Bellow are the tasks that need completed as quickly as possible. How should assemble your committee and delegate tasks so they may help up prepare for the show.
Marketing
How will you advertise the event? A rule of thumb is that 15% of your budget for an event should be spent on advertising. Do not forget the importance of making sure people know about your event.
Catering/Hospitality/Travel
Who will do the shopping? Who will do the set-up? How will the artists arrive in Missouri, Columbia, & the event? Where will the stay? Are there runners to pick up the artists or to make trips to get anything needed for the event?
Security
Do you need professional security? What type? How many?
Do you need students for tee-shirt security? How many? Where will you put them?
Merchandise
Is merch being sold? Does the artist or the University sell? Who will count, work the table, & complete the settlement sheet?
Production
Has Stone been notified of the event. What information does she need? How many are needed for load-in, set-up, & load-out of technical support?
Ticketing
Is the event general admission or ticketed? How many are needed?
Have you filled out the ticket master form?
Do you have ticket takers/scanners? Do you have ushers?
